Job Introduction

Serco offers space capability across the full space lifecycle from satellite testing to launch services, LEOP to spacecraft operations, space surveillance to data management, and supporting downstream application development.

 

We’re looking for a Personal Assistant, to reinforce the team in our Italy office!

Main Responsibilities

The Personal Assistant to Space Managing Director (MD) and Business Development Director (BDD) supports them in all aspects of the daily operations of the Company. 

Roles and Responsibilities                                                                 

  • Acting as a first point of contact: dealing with correspondence and phone calls
  • Preparation and distribution of agendas, notices, reports for monthly board and annual meetings
  • Booking and arranging travel, transport and accommodation
  • Organising events and conferences
  • Reminding the MD and BDD of important tasks and deadlines
  • Typing, compiling and preparing reports, presentations and correspondence
  • Managing databases and filing systems
  • Implementing and maintaining procedures/administrative systems
  • Liaising with staff, suppliers and clients
  • Collating and filing expenses
  • Welcome and manage on site (in cooperation with Support Office) the MD and BDD visitors
  • Check and validate the BER of immediate reports
  • Prepare and submit MD and BDD BERs
  • Consolidate input from direct reports and/or other colleagues for MD and BDD 
  • Manage the signature process on behalf of MD, including the check of governance process and DAM compliance

  • A knowledge of standard software packages and the ability to learn company-specific software if required.
  • Previous experience of administration or personal assistant work is a nice to have
  • Ability to work on MS Office 365
  • Fluent in English
  • Fluency in French, Dutch or German language is an asset
